What every Indian bill format must contain
Whether you handwrite a bill book entry or type a Word document, the law cares about the same fields. For a GST-registered seller, Rule 46 of the CGST Rules requires:
- Your business name, address, and GSTIN.
- A consecutive invoice number, unique for the financial year (max 16 characters).
- Date of issue.
- Buyer's name, address, and GSTIN (if the buyer is registered).
- HSN code for goods or SAC for services.
- Description, quantity, and rate of each item.
- Taxable value, and the tax shown separately as CGST + SGST (same-state sale) or IGST (inter-state sale).
- Place of supply with state name, for inter-state sales.
- Signature or digital signature.
Not registered under GST? Then you issue a simpler bill of supply — same basics, without the GSTIN and tax-split fields. Our invoice vs bill guide explains the difference.
The classic bill book format — and where it fails
The physical bill book is still how lakhs of Indian shops bill customers: a pre-numbered pad, carbon copy, handwritten entries. It satisfies the consecutive-number rule beautifully — the printer does it for you. But it struggles with everything else:
- Handwritten GST splits invite calculation errors — 9% + 9% vs 18% IGST, done in your head, at the counter.
- No searchable record — finding "that bill from March" means flipping pages.
- One copy. Lose the book, lose your sales records.
- You can't WhatsApp a bill book page to a client as a clean PDF.
Invoice format in Word: fine to start, painful to maintain
A Word or Google Docs invoice template looks professional and is free. The problems show up after your tenth invoice:
| Task | Bill book | Word template | Invoice generator |
|---|---|---|---|
| Consecutive numbering | Automatic (printed) | Manual — easy to duplicate | Automatic |
| GST split (CGST/SGST vs IGST) | Mental maths | Manual formulas | Auto-detected from states |
| Finding an old invoice | Flip pages | Search files (if named well) | Instant search |
| Sharing with the client | Photo of the page | Export to PDF, attach | PDF + share link in one click |
| Backup | None | Your hard drive | Stored online |
If you still want a Word format, do this
- Build one master template with every Rule 46 field from the list above — don't delete the GST fields even if some clients don't need them.
- Keep a separate register (even a notebook) of every invoice number you issue, so the series never breaks.
- Save each invoice as a PDF named
INV-2026-27-001-client-name.pdf— future you will be grateful. - Double-check the CGST/SGST vs IGST question on every single bill: same state as your client, or different?
Or let the format handle itself: the free Navrio invoice generator numbers your invoices, splits the GST based on your and your client's states, and downloads a clean PDF. For the full legal field list, read our GST invoice format guide, and for quick tax maths use the GST calculator.
Frequently asked questions
Is a Word invoice format legally valid in India?
Yes — the law prescribes what an invoice must contain (Rule 46 of the CGST Rules for GST-registered sellers), not the software used. A Word or Excel invoice is valid as long as every mandatory field is present and accurate.
What is the difference between a bill book and an invoice?
A bill book is the physical, pre-numbered pad of bills shops have used for decades. Each torn-out bill is an invoice. Digital invoices follow the same rules — unique consecutive numbers, date, items, taxes — but without handwriting errors or lost pages.
Can I create an invoice in Word for free?
Yes, Word and Google Docs both work for basic invoices. The catch: you must manually maintain consecutive invoice numbers, calculate GST splits, and keep copies — the three things that most often go wrong.
What must a bill format in India contain?
Seller name and address, a unique consecutive invoice number, date, buyer details, item descriptions with quantity and rate, the total, and — if you are GST-registered — GSTIN, HSN/SAC codes, and the CGST/SGST or IGST split with place of supply.
Which is better: bill book, Word template, or an invoice generator?
For occasional bills any of them works. For regular billing, a generator wins because it auto-numbers invoices, calculates CGST/SGST vs IGST from the place of supply, and stores every bill so nothing is lost.
